MEETINGS
Membership
meetings are normally held the first Sunday of each month, September
thru June, at locations announced in our newsletter. When a holiday
falls on the first Sunday the meeting date is moved forward or back a
week. The short business portion of the meetings begins at 2:15 p.m. It
is followed at, or near, 2:30 by the program or activity. This portion
is intended to be genealogically educational, informational or
instructional to our members.
Ideas,
suggestions, etc. from our members for future programs, events, and
activities are always welcome. Those members "in the know" plan to
arrive early and stay late. The time before and after the meetings is an
excellent time to socialize and "catch-up" with the genealogical
activities of others.
NEWSLETTERS
Members receive
ten issues (July/August & November/December are combined issues) of the
Society’s Newsletter,
OUR NAME'S THE GAME, during each Fiscal Year (July 1 to June 30).
Included in this publication are listings of future programs and events,
Queries from members, notices of publications by other organizations and
individuals that might be of interest, and occasional short articles
dealing with genealogical research.
Members are
invited to submit information, articles, etc. for inclusion in the
newsletter that are of genealogical pertinence to the SCPGS area. We do
not solicit or publish commercial advertisements. However, members in
the process of publishing or who have recently published, a family
history, etc. are entitled to "coverage" of such in the newsletter.
SPECIAL PUBLICATIONS
Each Fiscal Year,
as published, members receive
SPECIAL PUBLICATIONS. These are booklets of varying lengths that
contain genealogical resource materials, most of which is from
previously unpublished primary sources.
Members are welcome to submit ideas, suggestions, etc. for future
Special Publications. Contributions of articles, materials, etc. for
inclusion in future Special Publications are also welcome.
NEWSLETTER / WEBSITE
QUERIES
Members of SCPGS may have an unlimited number of queries published in
the newsletter and on the website free of charge. They are printed on a
first received, first included basis. While there is no limit on the
number of queries submitted we do reserve the right to limit the length
of space provided in a particular newsletter for queries from one
individual. When more then one or two queries are received from a member
at the same time one or two will be included in the upcoming newsletter
and the remainder in successive issues. Queries on the website are
not limited to the same restrictions as the newsletters, we have
unlimited space available to display them. There is no special
format to follow when constructing queries for submission. We ask that
you let common sense prevail - keep them brief and "to the point". If
handwritten please keep them legible. Include dates, locations
(township, county, etc.) and time span whenever possible.
RESOURCE PERSONS
As we become aware
of them, we list in the newsletter, information about members who are
willing to serve (without charge) as Resource Persons for other members
needing research help/advice in areas outside the immediate SCPGS area.
We ask them not to answer letters unless they are accompanied with a
business or legal size self-addressed stamped envelope. Please remember
- these members are willing to share their research knowledge and are
considerate enough to help other members. Do your part in return - do
not expect them to provide you with "mounds" of information you should
be paying a professional to provide.
Any member, living
outside the SCPGS area that is willing to be listed as a Resource Person
need only contact the Society. When writing, identify your area by
state/county/township, etc. and briefly state in what way(s) you would
be willing to help those needing assistance.
SURNAME INDEX FILE
The society
maintains and up-to-date file on computer of all surnames being
researched by our members. There is no limit on the number of surnames a
member may submit and they may be submitted at any time.
If you are
researching a particular surname and desire to know the names and
addresses of other members researching the same surname, address your
request in care of the Director of Operations (operations@scpgs.org). When requesting this information by regular mail you
should include a business or legal size SASE. There is no limit on the
number of times a member may utilize this service.
RESEARCH COMMITTEE
This committee of
volunteers uses the facilities of the
York County Heritage Trust
Library to answer correspondence pertaining to genealogical information
referring mainly to the York and Adams County areas of Pennsylvania.
Request from
MEMBERS and NON-MEMBERS are acknowledged, only if a business or legal
size self addressed stamped envelope is included. Member requests
receive first priority and are given more searching than requests from
non-members. There is no charge to members for this volunteer service if
the request is brief.
MEMBER REQUESTS: A
$15.00 donation will be required from members if the request is complex
and lengthy. Please state all requests as clearly and precisely as
possible, include a Family Group Sheet if possible. We will check a
specific name for Baptism, Cemetery, Will and Orphan Court records
(1749-1850) for the donation paid in advance. Make check payable to the
society. Remember, an unsuccessful search takes as long as a successful
one. If a large amount of Xeroxing is required, the correspondent will
be informed in advance.
NON-MEMBER
REQUESTS: Letters will be answered if they are simple ones, but a $30.00
fee is charged.
A list of
Professional Researchers will be sent to those requesting complex
research.
